Office Coordinator

REPORTS TO: This position will report to the Publisher. The Publisher will develop this candidate as they mature within the organization.
LOCATION: Boston, MA
STATUS: Full Time

SUMMARY OF RESPONSIBILITIES

Provides general administrative support to various departments within Wisdom Publications. Including but not limited to:

  • Office
    • Ordering office supplies
    • Liaison for building management
    • Acts as a key proponent in creating and promoting a positive, professional office culture and environment: respectful, mature, humble, ethical, service-oriented. Imbued with fun, creativity, and support of one another and our community.
  • Administrative
    • Author contracts and royalties
    • Monthly import of distributor channel sales
    • Support bookkeeper with accounting tasks
    • Database support and data entry
    • Scheduling meetings
    • Coordinating travel
    • Reception: management of incoming calls, visitors, incoming and outgoing mail
    • Responsible for general email inquiries to ensure communication is answered/followed up by appropriate person
  • HR
    • Assisting in employee onboarding and terminations
    • Benefit administration, responding to benefit inquiries
    • Monitoring of employee Paid Time Off

POSITION REQUIREMENTS

Professional Qualifications

Fully qualified candidates will possess the following skills:

  • Advanced proficiency in the use of office technology including MS office suite (Word, Excel, etc.)
  • 1–2 years of relevant employment experience
  • Strong speaking, written, and documentation skills
  • Basic bookkeeping experience is a bonus

  • Strongly preferred : 1+ years of previous on-the-job experience at an administrative support level. Any position providing customer service and administrative support; positions with confidentiality and discretion very helpful.

Content Coordinator

REPORTS TO: This position will report to the Brand and Content Manager.
LOCATION: Boston, MA
STATUS: Full Time

SUMMARY OF RESPONSIBILITIES

  • Social Media
    • Schedules Facebook posts and tweets, providing our community with a stream of high-quality text and visual content
    • Works with Brand and Content Manager to create Facebook ad campaigns to support Wisdom goals
  • Author Experience
    • Works with the Brand and Content Manager to help serve authors, promote author events, create author newsletters, etc.
  • Website
    • Enters and updates website content to keep our website fresh, interesting, and useful to our community
    • Works with the Assistant Editor to create and upload online course content, supporting the running of Wisdom Academy
    • Researches and runs google analytics reports and presents these to Brand and Content Manager
  • Content
    • Works with the Brand and Content Manager to curate book content into website articles, PDFs, and social media posts to better serve our community with useful content
  • Community
    • Works with the Brand and Content Manager to manage and develop customer experience campaigns, managing customer data, etc.

POSITION REQUIREMENTS

Fully qualified candidates will possess the following skills:

  • Proficiency in the use of office technology including MS office suite (Word, Excel, etc.)
  • Proficiency with platforms including Facebook Business Manager, Facebook Ads Manager, Facebook Analytics, Twitter, Twitter Analytics, one or more social media scheduling platforms such as Tweetdeck or Buffer, and MailChimp.
  • 1–2 years of relevant employment experience
  • Strong speaking, written, and documentation skills
  • Basic experience with any of the following is a bonus: Wordpress development, coding, website development, video editing, audio editing
